PRIVACY POLICY

Effective Date: October 19, 2026

Last Updated: October 19, 2026

Ichorid, LLC ("Ichorid," "Company," "we," "us," or "our") respects your privacy and is committed to protecting the personal and operational information processed through our website and managed AI telephony and dispatch infrastructure ("Services").

This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our website, onboard as a business client ("Client"), or interact with an AI telephone attendant managed by Ichorid on behalf of a Client.

1. Our Role: Data Controller vs. Data Processor

Because Ichorid operates as a managed backend infrastructure provider for trade contractors and service businesses, we handle data in two distinct capacities:

As a Data Controller (Our B2B Clients & Website Visitors): We control the business contact details, onboarding configurations, and billing information you provide when purchasing or inquiring about our Services.

As a Data Processor / Service Provider (End-Callers): When a homeowner or customer ("End-Caller") calls a telephone line managed by Ichorid on behalf of a Client, the Client is the Data Controller and Ichorid acts strictly as a Data Processor. We record, transcribe, and route End-Caller information solely on the instructions of our Client to facilitate appointment booking and dispatch.

2. Information We Collect

A. Information Collected from B2B Clients

Account & Onboarding Data: Business name, contact name, email address, mobile phone number (for SMS dispatch alerts), service area rules, and pricing guidelines.

Integration Credentials: API keys, webhook URLs, OAuth tokens, and scheduling configurations required to write job data to third-party Field Service Management (FSM) software (e.g., Housecall Pro, Jobber) and calendars (e.g., Google Calendar).

Payment & Billing Data: All credit card and ACH payments are processed securely by our third-party PCI-DSS Level 1 compliant payment processor. Ichorid does not store raw credit card numbers on its servers.

Technical & Verification Logs: IP addresses, browser metadata, timestamps of contract/terms acceptance, and onboarding form submission logs.

B. Information Collected Through Managed AI Telephony (On Behalf of Clients)

Telecommunications Metadata: Caller ID, originating and destination phone numbers, call duration, carrier routing data, and call timestamps.

Voice & Audio Data: Audio recordings of inbound and outbound telephone interactions, real-time speech-to-text transcripts, and AI-generated call summaries.

Dispatch & Scheduling Data: End-Caller name, service address, callback number, problem description, urgency classification, and requested appointment windows.

3. How We Use Information

We use the collected information strictly to:

Provision, configure, and maintain dedicated AI telephone lines and conversational routing scripts.

Transmit real-time call summaries, caller details, and audio recording links to Clients via SMS and email.

Push qualified appointments and customer records via API/webhook into the Client’s designated calendar or FSM platform.

Process subscription payments, verify service delivery, and resolve billing or payment processor inquiries.

Monitor system latency, debug API integrations, and prevent fraudulent or abusive telecom traffic.

4. SMS & Telecommunications Compliance (Strict No-Sharing Policy)

When Clients provide mobile phone numbers to receive automated SMS dispatch notifications, or when End-Callers interact with Client phone lines via SMS:

No Third-Party Marketing Sharing: No mobile information, phone numbers, or SMS opt-in consent data will be shared, sold, rented, or traded with any third parties or affiliates for marketing or promotional purposes.

Permitted Operational Routing: Text messaging originator opt-in data and consent will not be shared with any third parties, except for upstream telecommunications carriers and aggregator providers strictly necessary to deliver the automated SMS notifications.

Opt-Out: Recipients of automated SMS notifications may opt out at any time by replying "STOP" to any message, or by contacting [email protected].

5. Artificial Intelligence & Model Training Policy

No Public Model Training: Ichorid does not sell Client call recordings, transcripts, or customer lists to data brokers, nor do we permit third-party Large Language Model (LLM) providers to train public foundation models on your proprietary business data or customer interactions.

Sub-Processors: To deliver sub-second voice interactions and calendar synchronization, data is transmitted via encrypted APIs to enterprise cloud, telephony, speech-to-text, and LLM sub-processors strictly for real-time execution and hosting.

6. Disclosure of Information

We do not sell your personal or operational data. We only disclose information in the following limited circumstances:

To Client’s Designated Platforms: Pushing call outcomes and appointment data directly into the FSM, CRM, or calendar systems authorized by the Client.

Infrastructure Sub-Processors: Trusted cloud hosting, telephony carrier, and AI API providers bound by confidentiality and security obligations.

Payment Dispute & Fraud Prevention: In the event of a billing dispute or credit card chargeback, Ichorid reserves the right to share server execution logs, API 200 OK delivery receipts, call metadata, IP timestamps, and onboarding records with our payment processor and financial institutions as proof of service fulfillment.

Legal Compliance: When required by law, subpoena, court order, or telecom regulatory authority.

7. Data Retention & Security

Security Measures: We implement enterprise-grade encryption in transit (TLS/SSL) and at rest, strict API token scoping, and isolated backend execution environments to protect operational data.

Retention: Call recordings, transcripts, and dispatch logs are retained for the duration of the Client’s active service agreement to provide operational history and audit logs, and may be purged thirty (30) to ninety (90) days following account termination unless a longer retention period is required for legal or billing dispute resolution.

8. Your Privacy Rights & End-Caller Requests

Depending on your US state of residence (such as California, Virginia, Colorado, or Texas), you may have the right to request access to, correction of, or deletion of your personal information.

For B2B Clients: You may request updates or deletion of your account data by emailing [email protected].

For End-Callers (Homeowners/Customers of our Clients): Because Ichorid processes call and scheduling data on behalf of the contractor or business you called, please direct any requests to delete or modify your appointment record directly to that business. If you contact Ichorid directly, we will forward your request to the respective Client.

9. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes in our infrastructure, carrier regulations, or legal requirements. Any updates will be posted on this page with an updated "Last Updated" date.
